Online Services & Employee Account Terms and Conditions

These Terms and Conditions govern the use of Mayjan Engineering Pty Ltd’s online services and employee account systems.


1. Definitions

In these Terms:

  • “Mayjan”, “we”, “us”, or “our” means Mayjan Engineering Pty Ltd (ABN 16 003 800 271).
  • “User”, “you”, or “employee” means any person issued with access to Mayjan’s online systems.
  • “Online Services” means any Mayjan-owned digital platform including employee portals, timesheet systems, document upload tools, forms, and related services.
  • “Account” means an individual user login provided by Mayjan.

2. Acceptance of Terms

By creating, accessing, or using a Mayjan employee account or online service, you:

  • Confirm you are authorized by Mayjan to access the system
  • Agree to comply with these Terms and Conditions
  • Acknowledge that these Terms form part of your employment or engagement conditions

If you do not agree, you must not use Mayjan’s online services.


3. Eligibility and Account Access

  • Accounts are issued solely at Mayjan’s discretion
  • Accounts are for individual use only and must not be shared
  • You are responsible for maintaining the confidentiality of your login details
  • You must notify Mayjan immediately of any unauthorized access or suspected breach

Mayjan may suspend or revoke access at any time without notice.


4. Acceptable Use

You agree to use Mayjan’s online services:

  • For legitimate business purposes only
  • In a lawful, honest, and professional manner
  • In accordance with company policies, WHS requirements, and employment obligations

You must not:

  • Submit false, misleading, or incomplete information
  • Upload malicious software or attempt to bypass security controls
  • Access data or accounts not authorised to you
  • Use the system for personal, illegal, or inappropriate purposes

5. Timesheets, Payroll & Submissions

When submitting timesheets or employment-related data, you confirm that:

  • All hours worked are true, accurate, and complete
  • Classifications, allowances, and site details are correct
  • Submissions reflect actual work performed

Intentional submission of false or misleading information may result in:

  • Non-payment or recovery of overpaid wages
  • Disciplinary action
  • Termination of employment or engagement
  • Further legal action where applicable

6. Data Accuracy & Responsibility

You are responsible for ensuring that all information you submit is:

  • Accurate
  • Current
  • Not misleading

Mayjan may audit, verify, or correct submitted information at any time.


7. Privacy & Personal Information

Mayjan collects and handles personal information in accordance with:

  • The Privacy Act 1988 (Cth)
  • The Australian Privacy Principles (APPs)
  • Mayjan’s Privacy Policy

By using the Online Services, you consent to the collection, storage, and use of your information for legitimate business, employment, payroll, WHS, and compliance purposes.


8. Monitoring & System Logs

You acknowledge that:

  • Use of Mayjan systems may be monitored
  • Logs, IP addresses, timestamps, and activity records may be retained
  • Monitoring may be used for security, compliance, auditing, or investigation purposes

9. Intellectual Property

All content, systems, software, documents, and materials within Mayjan’s Online Services remain the exclusive property of Mayjan Engineering Pty Ltd.

You must not copy, modify, distribute, or reuse any content without written permission.
This Includes: 

  • Sharing of any other user’s personal information to any external party without consent
  • Sharing of Mayjan Engineering documents and / or company information to any external parties without prior written consent 
  • Sharing, disclosing, or distributing any Mayjan Engineering intellectual property, designs, drawings, CAD files, specifications, procedures, or work methods without prior written consent
  • Copying, downloading, photographing, screen-capturing, or otherwise reproducing Mayjan Engineering documents, systems, or data for non-business purposes
  • Providing access to Mayjan Engineering systems, portals, files, or documents to any unauthorized person
  • Using Mayjan Engineering information for personal gain or for the benefit of another business or individual
  • Removing company documents, data, or records from Mayjan Engineering systems without authorization
  • Discussing confidential Mayjan Engineering projects, clients, pricing, scope, or commercial arrangements with external parties
  • Uploading Mayjan Engineering information to personal cloud storage, email accounts, USB devices, or third-party platforms without approval
  • Sharing login credentials, passwords, or access details with any other person
  • Retaining company information after termination of employment or engagement
  • Using Mayjan Engineering branding, logos, imagery, or marketing material without approval
  • Publishing, posting, or commenting on social media or public platforms regarding Mayjan Engineering operations, clients, or internal matters without authorization

10. Suspension & Termination of Access

Mayjan may suspend or terminate your account immediately if:

  • These Terms are breached
  • Employment or engagement ceases
  • There is suspected misuse, fraud, or security risk

Upon termination, all access rights immediately cease.


11. Availability & System Changes

  • Online Services are provided “as is”
  • Mayjan does not guarantee uninterrupted or error-free access
  • Systems may be modified, updated, or withdrawn at any time

12. Limitation of Liability

To the extent permitted by law, Mayjan is not liable for:

  • Loss resulting from system downtime
  • Errors caused by incorrect user submissions
  • Indirect or consequential loss arising from use of Online Services

13. Compliance With Law

You agree to comply with all applicable Australian laws, regulations, awards, and workplace obligations while using Mayjan’s systems.


14. Amendments

Mayjan may update these Terms and Conditions at any time.
Continued use of Online Services constitutes acceptance of the updated Terms.


15. Governing Law

These Terms are governed by the laws of New South Wales, Australia.
Any disputes are subject to the exclusive jurisdiction of NSW courts.
